6. Bookings — Terms & Conditions
6.1 Making a booking
When you make a Booking with us, you confirm that:
- You are at least 18 years old.
- You have authority to make the Booking and to accept these Terms on behalf of all members of your party.
- The information you provide is accurate and complete.
A Booking is only confirmed once we have issued a written confirmation (by email or letter) and any required deposit has been received. The contract between you and us is formed at the point we issue confirmation.
6.2 Prices and payment
All prices are quoted in pounds sterling (GBP) and include VAT at the prevailing rate unless stated otherwise. Prices may change from time to time, but changes will not affect Bookings already confirmed.
We accept payment by major credit and debit cards, and by bank transfer where agreed in advance. A valid card may be required at the time of Booking to guarantee a reservation, even where full payment is not taken upfront.
6.3 Deposits and balance payments
Some Bookings — including weddings, large events, exclusive use, group bookings and certain rate plans — require a non-refundable deposit at the time of Booking, with the balance payable in line with the schedule set out in your Booking confirmation.
6.4 Cancellations and amendments by you
Cancellation and amendment terms depend on the rate or package booked and will be set out in your Booking confirmation. As a general guide:
- Standard flexible rate — cancellations made more than [insert: e.g., 24/48] hours before the day of arrival are refundable. Cancellations made after that point, or no-shows, will be charged the cost of the first night’s stay.
- Advance / non-refundable rate — payment is taken at the time of Booking and is non-refundable.
- Weddings, events and group bookings — separate written terms will apply, including a cancellation schedule based on proximity to the event date.
To cancel or amend a Booking, please contact us by email at reception@wroxallhotel.co.uk or by telephone on +44 (0)1926 945 200. Cancellations are only effective once acknowledged by us in writing.
6.5 Cancellation by us
In rare circumstances we may need to cancel or amend a Booking — for example due to events outside our reasonable control (see section 9), unexpected closure of facilities, or overbooking. Where this happens we will use reasonable efforts to offer suitable alternative dates or accommodation. If no acceptable alternative is available we will refund any sums you have paid for the affected Booking.
6.6 Check-in and check-out
Standard check-in is from [insert time, e.g., 3:00 pm] and check-out is by [insert time, e.g., 11:00 am] unless otherwise agreed in writing. Late check-out may be available on request and may be subject to an additional charge.
We may require photographic identification at check-in for security and regulatory purposes.
6.7 House rules
While on Hotel premises you and your party agree to:
- Behave in a manner that does not disturb other Guests, our staff or the local community.
- Comply with our smoking policy (the Hotel and all rooms are non-smoking; smoking, including the use of e-cigarettes and vapes, is permitted only in designated outdoor areas).
- Comply with our policy on pets (pets are not permitted other than registered assistance dogs, unless agreed in writing in advance).
- Not bring or consume your own food or alcoholic drinks on the premises without prior agreement.
We reserve the right to refuse admission, or to require any Guest to leave the premises, where in our reasonable opinion their behaviour breaches these rules or causes a risk to safety, property or other Guests.
6.8 Damage and loss
You are responsible for any loss or damage caused to the Hotel, its property or its other Guests by you or any member of your party. We reserve the right to charge the card held on file for the reasonable cost of repair, replacement or additional cleaning, and will provide a written breakdown on request.
6.9 Special offers and packages
Some rates, packages and gift vouchers may be subject to additional terms (for example minimum-stay requirements, advance-payment rules or blackout dates). Any such terms will be made clear at the point of Booking.
7. Spa, dining, weddings and events
Spa treatments, dining reservations, weddings, conferences and other events are subject to availability and may be subject to additional terms which we will provide separately. Where there is any conflict between those additional terms and these Terms, the specific event terms will prevail in respect of that Booking.
8. Liability
Nothing in these Terms limits or excludes our liability for:
- death or personal injury caused by our negligence;
- fraud or fraudulent misrepresentation;
- any other liability that cannot be limited or excluded by law (including under the Consumer Rights Act 2015).
Subject to the above:
- We provide the Website on an “as is” basis and make no warranties or representations about its accuracy, completeness or availability. We will not be liable for any reliance you place on information published on the Website.
- We are not liable for any indirect or consequential loss, or for loss of profit, business, revenue, goodwill or anticipated savings.
- Our total liability to you in connection with any Booking will not exceed the total amount paid by you for that Booking.
- We are not responsible for valuables, personal belongings or vehicles brought onto the premises, except to the extent required by the Hotel Proprietors Act 1956.
This section does not affect your statutory rights as a consumer.
9. Events outside our control (force majeure)
We will not be in breach of these Terms or liable for any failure or delay in performing our obligations where that failure or delay is caused by events outside our reasonable control. This includes, without limitation, fire, flood, severe weather, epidemic or pandemic, government action, acts of terrorism or war, civil unrest, industrial action, utility failure, and failure of public or private telecommunications networks.
If such an event prevents us from providing your Booking, we will contact you as soon as reasonably possible and offer alternative dates where available, or a refund of sums paid in respect of the affected Booking.
10. Privacy and data protection
Personal data collected through the Website or in connection with a Booking is processed in accordance with our Privacy Policy and the UK GDPR. Please review the Privacy Policy for details of how we collect, use and store your information.
11. Third-party links
The Website may contain links to third-party websites for your convenience. We do not control and are not responsible for the content, products or services of those websites, and inclusion of a link does not imply endorsement.
12. Changes to these Terms
We may update these Terms from time to time. The version in force at the time you make a Booking, or use the Website, is the version that applies. The “Last updated” date above shows when these Terms were most recently revised.
13. Severability and waiver
If any provision of these Terms is found to be unlawful or unenforceable, the remaining provisions will continue in full force and effect. A failure or delay by us to enforce any provision is not a waiver of our right to do so later.
14. Governing law and jurisdiction
These Terms, and any dispute or claim arising out of or in connection with them or their subject matter, are governed by and construed in accordance with the laws of England and Wales. You and we both agree that the courts of England and Wales have exclusive jurisdiction, except that if you are a consumer resident in Scotland or Northern Ireland, you may also bring proceedings in your local courts.
15. Complaints
